Who it's for
Small Etsy shops: handmade, vintage, print-on-demand, digital downloads. It suits anyone who looks at a sale and isn't sure how much of it is theirs once Etsy, the materials, the label and their own time are paid for.
It's set up for a US shop. If you sell from Canada, the UK, the EU, Australia or elsewhere, you change two or three numbers in the Settings tab (your country's rates are listed in the file) and work in your own currency.
What's in the file
- A one-product calculator with every Etsy fee itemized
- Profit per sale and margin, with your labor counted at your own hourly rate
- Two columns side by side: a normal sale and an Offsite Ads sale (12% or 15%, with the US$100 cap)
- Break-even price: the lowest item price that doesn't lose money
- Price for your target margin, also rounded up to .99
- A products table for up to 50 listings, each marked On target, Below target or Losing money
- An optional monthly log for units sold and shop costs like Etsy Ads
- A Sources tab with every fee, what it applies to, the link to Etsy's page and the date checked
- Optional settings for currency conversion, Regulatory Operating fees and VAT on fees
- A short PDF guide on using it, with pricing tips
What it looks like
This is the Calculator tab with the example product that comes in the file, a made-up ceramic mug selling for $28 plus $6 shipping. The cream cells are yours to change; everything else updates.

Two things the example shows. A $34 order pays $3.68 in Etsy fees, and the mug keeps $10.97 after materials, packaging, the label and 25 minutes of work. If the same order came through an Offsite Ad, the extra 15% fee cuts that to $5.87. The sheet shows both because you can't know in advance which orders will come from ads.
The fees it covers
Defaults are Etsy's published fees for a US seller, checked on 17 October 2026 against Etsy's Fees & Payments Policy and Help Center. You can change any of them in one place.
| Listing | US$0.20 per listing, renewed at US$0.20 each time an item sells |
|---|---|
| Transaction | 6.5% of item price + shipping + gift wrap |
| Payment processing (US) | 3% + US$0.25 per order (other countries listed in the file) |
| Offsite Ads | 15%, or 12% for shops with US$10,000+ in sales in 365 days; max US$100 per order |
| Currency conversion | 2.5%, only if you list in a different currency from your bank account |
| Regulatory Operating | 0% in the US; 0.05% to 1.97% in Canada, the UK, France, Italy, Spain and a few others |
Etsy changes fees from time to time. When it does, you update the Settings tab and every calculation follows.
What it isn't
It isn't an app and it doesn't connect to your Etsy shop: you type your numbers in. It doesn't do income tax or sales tax filing. And it won't make your products sell; it tells you whether each sale is worth it.
There are free Etsy fee calculators online, and some are good. This is for you if you'd rather have all your products in one file you own, with Offsite Ads shown separately, a target-margin price and a monthly log, that works offline.

How this was made
The spreadsheet and the guide were made with the help of AI and checked by a person. The formulas were tested by recalculating them against an independent model in several fee scenarios. If you spot a mistake or a fee that has changed, tell us and we'll fix it in the next version.
Questions
Does it work in Google Sheets?
Yes. Upload the .xlsx to Google Drive, open it and choose File > Save as Google Sheets. It only uses ordinary formulas that Excel and Google Sheets both have. No macros or scripts.
I don't sell from the US. Can I use it?
Yes. Change the payment processing rate and flat fee to your country's (the file lists them all), add your Regulatory Operating fee if you have one, and type your amounts in your own currency.
What happens when Etsy changes its fees?
Every fee lives in one Settings tab, so you change the number once and the whole sheet follows.
Does it connect to my Etsy account?
No. Nothing to log in to and nothing to install. You type your prices and costs; your data stays in your file.
Is it useful for digital downloads?
Yes. Leave materials and shipping at zero. The fixed fees weigh more on cheap items, and the sheet makes that easy to see.
